The Unit Secretary is an unlicensed person who performs indirect care and assists with departmental organizational activities with the leaders of the Physical Therapy Director, House Supervisor or Charge RN. Assists in the coordination of Physical Therapy activities occurring on patient care unit(s) by effectively performing clerical, receptionist and communication duties. Assists in maintaining a safe and organized environment of the patient care unit(s).
Uses two patient identifiers when re-banding a patient or posting lab results on a chart to ensure correct information. Demonstrates awareness of importance of accurate patient identification at all times.
Does not use unacceptable abbreviations; alerts physicians and staff when transcribing orders. Checks for completeness and accuracy of patient record and correct order of documents within the record.
Transcribes accurately and transmits physician orders to appropriate areas under supervision of an RN; confers with charge nurse regarding the scheduling of patient activities and test; follows up consistently on written and oral instructions.
Notifies the Bio-Med department for nonfunctioning equipment in a timely manner.
Orders supplies in cost effective manner as needed and assists with restocking. Keeps accurate inventory of unit supplies.
Uses forms appropriately to the task- telephone laboratory reports, physician orders, requisitions, etc.
Accurately files reports and test results in a timely manner; verifies that all information is correct.
Practices telephone etiquette when placing and answering calls for physicians, patient/families and other departments and communicates messages timely to the appropriate person/department.
Avoids and prevents injury to self and patients by applying the principles of body mechanics. Maintains a safe environment, functioning with an awareness and application of safety issues identified within the unit facility.
Identifies correct patient name plate before stamping; ensures accuracy at all times.
Discards and replaces old print-outs and corresponding control copies.
Notifies nursing personnel of patient requests.
Promptly reports matters requiring immediate nursing interventions to licensed staff.
Automatically calls for and obtains old medical records for patients upon their admission.
Follows policy for updating, thinning, and/or maintenance of patient charts with longer length of stay, as necessary; assists with preparation of pre-surgical charts
Locates personnel for RN; contacts departments, services, physicians, etc., as requested.
Regularly schedules appointments for patient examinations and treatments and notifies departments of STAT test and treatments.
Maintains a minimum supply of unit specific admission chart packs at all times.
Coordinates patient care unit functions to provide for a smooth operation of all routine nursing care procedures.
Performs other essential duties as assigned or required.
