The Executive Assistant is responsible for the day to day operations of the department on a daily, routine basis. The Executive Assistant works with the Hospital Administrator/CEO, Administrative team members and department heads to ensure compliance with goals and objectives established by the hospital corporation. Communicate effectively, in writing, verbally, and via telephone, with all levels of personnel and visitors. Input and retrieve computerized data.
Ensures the efficient management of the department operations. Keeps records, files and contracts for Administration.
Assists hospital administration with patients’, physicians’, employees’ concerns or issues as they relate to hospital operations. Ensure the follow-through of the issues being delegated to appropriate personnel.
Efficiently and effectively takes minutes for department management meetings and other meetings as assigned. Assists in the preparation, planning and execution of agenda.
Receives, obtains approvals for completed time sheets and forwards to the Payroll Department. Keeps an updated report of approved vacation for the management team and maintains Administrator/CEO informed of approved vacations.
Maintains Administrator/CEO informed on the status of contracts or other important documents.
As requested, maintains Administrator’s/CEO’s calendar.
As directed, follows up with unresolved situations to gather information, etc.
Performs other duties as assigned or required.
Staring January 2013, all new hires require High School Diploma or Equivalent; college degree preferred.
A minimum of 3 years experience in a hospital administration environment.
Proficient with computer software (Word, Excel, Power-Point, etc.)
