Responsible for greeting patients/visitors.  Receive patients in the Emergency Room via the Reception Routine Meditech System.  Create a PRE ER account for the patient and record the patient’s complaint.  Associate the account with a Medical Record Number for patients with prior visits.  Search for the MPI and assign the Medical Record Number accordingly. Process and Print Armband for patient.  Coordinate  registration of patients in a timely manner. Responsible for assisting with the planning, coordination and implementing of all activities and programs related to admission and registration processes for Mission Regional Medical Center.


 Essential Duties

  1. Regularly scheduled for 8 hours shifts, 5 times/week or 10 hours shifts, 4 times/week.
  2. Greet patients/visitors.
  3. Receive patients in the Emergency Room via the Reception Routine Meditech System.
  4. Create a PRE-ER account for the patient and record the patient’s complaint.
  5. Associate the account with a Medical Record Number for patients with prior visits.
  6. Search for the MPI and assign the Medical Record Number accordingly.
  7. Process and print patient armband.
  8. Coordinate registration of patients in a timely manner.
  9. Processes pre-registrations and registrations of admissions/discharges/transfers, etc with accuracy and in a timely manner.
  10. Calls insurance carriers and/or uses Internet to verify eligibility, obtain benefits and obtain pre-certification for services as required on a daily basis.
  11. Possess an understanding of third-party payers.
  12. Schedules patients, following the criteria of the services ordered.
  13. Calculates the charges of services and patient’s out-of-pocket expenses.  Collects at point of services for inpatient and outpatient accounts on a daily basis.
  14. Performs financial counseling and/or performs screening for government programs or charity. 
  15. Reviews daily work to assure compliance with hospital, federal and state regulations including, but not limited to The Joint Commission, HIPAA, EMTALA, and Medicare and Medicaid standards.
  16. Establishes and maintains positive communication with patients of different age groups, physicians and hospital staff.
  17. Ensures that all information extracted from the Master Patient Index (MPI) is correct at the point of registration.
  18. Ensures that a diagnosis, level of care, and a valid physician’s signature are affixed to each order before the order entry process. 
  19. Ensures that continuum of care is not compromised during meal breaks and absences from work areas.
  20. Utilizes Registration Checklist tool to ascertain accuracy is present on all registrations.
  21. Meets and maintains a 95.0% cumulative registration score throughout the year.
  22. Disseminates all appropriate documentation to the necessary departments not limited to Business Office, Health Information, and ER physicians’ billing office.
  23. Competency in using Cashiering Windows Module (Meditech), check machine and credit card machines for all cash receipts. 
  24. Works towards extending knowledge transfer to constituents in the facility as it relates to processes within Patient Access.
  25. Keeps abreast of healthcare changes through the use of technological resources in the department.  Use electronic mail to maintain an adequate knowledge base as it relates to operations within the department.
  26. Reviews daily reports and processes as assigned by the Patient Access Manager.
  27. Establishes and maintains diligence in working conjunctively with Business Office personnel to ensure adequate billing, claims filing and financial counseling.
  28. Utilizes effective communication with coworkers to ensure that change of shift activity promotes accuracy and efficiency.
  29. Communicates process improvement recommendations to Patient Access Manager and staff during periodic forums that involve continuing education and/or in-service activity.
  30. Maintains the comfort, privacy, and dignity of each patient in the delivery of services to them.  Interacts with patients in a manner that displays warmth and promotes a caring environment.
  31. Assist in maintaining a safe, neat and clean environment.  Reports environmental deficiencies to the department manager as they arise.
  32. Communicates effectively with Patient Access Manager at all times regarding departmental operations.



Education/ Training: High School diploma or GED.  Medical Office Specialist certificate.   Passing score of CHAA (Certified Healthcare Access Associate) exam through NAHAM required within twenty (20) months of hire date.


Experience: None required.  Medical business office and/or registration/admission office and/or general clerical environment preferred.
